For Jan Virt

One brain for both businesses.

Today your knowledge is spread across Projects that can't see each other. Here's how it becomes one place Claude reads before it does anything.

The gap you named

You're missing the middle layer. A folder is that layer.

Today Claude chat

  • A fact told in one Project doesn't exist in the next.
  • Big projects only exist as threads of chats.
  • The CRM lives in a task, a chat and memory at once.
Why Claude Code

Same Claude. It just reads your files.

It remembers across everything

The main file is read at the start of every session, so your pricing, clients and rules are there in both businesses.

Big projects get a home

Each documentary, brand or agency push is one file: status, next step, who owes what. The next session starts from it.

Drafts sound like you

Before any email, it reads your voice file. You correct a draft once, the lesson goes into the file, it doesn't repeat.

No terminal. It's the Code tab in the Claude desktop app, included in your Pro plan.

How to get there

Four steps to one main file

1

Ask every Project for a full recap

Open each Project and the loose chats, paste this, save each answer.

Write me a complete, detailed recap of everything you know from this Project, for moving it into a new system. Not a summary. Include: - Who I am and how I work, as you understand it - Every client, contact and company, with where things stand - Every big project: status, next step, deadlines - Open threads: who owes what to whom - Prices, rates and quoting rules you've seen me use - How I write: tone, phrases I use, things I always change in your drafts - Anything you're unsure about. Mark it "unsure".
2

Give all recaps to Claude Code

New folder, Code tab, drop every recap in. Ask it to build CLAUDE.md and voice.md, one file per big project, and to list every place two recaps disagree.

3

Ping-pong until it's right

Read the main file. Answer its questions, fix what's wrong, settle the contradictions. When you'd hand it to an assistant on day one, it's done.

It drafts→You correct→It asks→You confirm
4

Wire in your voice

One rule in the main file: before drafting any message, read voice.md. Every time you edit a draft, the change goes into voice.md.

What a day looks like

It wakes up knowing your week

07:00

Brief

Reads the main file, CRM and calendar. Tells you what matters today.

Anytime

Talk, don't type

Dictate at the desk. On a shoot, a voice note lands in the inbox file.

Drafts

In your voice

Right business, right sender, voice file read first. You approve.

End of task

Files updated

Project file and CRM get the new state, so nothing is re-explained.

Your nine questions

Short answers

01solved

Memory across Projects

One main file read every time. Business rules one level down.

02solved

Two businesses, one inbox

Two business folders plus ops. Shared work gets a home.

03rule

What to automate

Recurring, same input, you read the output. One-offs go to your calendar. One CRM file.

04step 2

Clean the prompts

They merge into the main file. Contradictions show up side by side.

05skip

Notion for estimates

A quotes sheet in the folder is the searchable history.

06test

IG, LinkedIn, WhatsApp

WhatsApp export to text works. Test browser reading for the rest.

07fine

Not deleting emails

Fine. A few filters that label newsletters keep search clean.

08voice

Voice, laptop closed

Voice notes into the inbox file, processed at the desk.

09check

Two email addresses

Depends on account vs alias. Every draft names business and sender.
